You can use Employee Schedule and Attendance Management to record employee punches, review daily attendance, define shift rules, and record absences alongside Documentation:Employee Management.
Overview
Employee Schedule and Attendance Management has two operational areas:
- Employee Kiosk for an employee's daily clock-in and clock-out actions and today's attendance summary.
- Manager View for supervisors and HR administrators who need to review daily attendance totals and the underlying punch timestamps.
It also provides configuration screens for shift definitions and absence records. Use the Employee Directory to open the attendance workspace for a selected employee.
Open an employee's attendance workspace
The Employee Directory is the starting point for employee records and attendance.
- Find the employee by using the search bar. You can search by name, ID, or department.
- Confirm the employee in the roster. The roster shows identifiers such as employee ID, email address, first name, last name, and lifecycle status.
- Click Attendance on the employee's row.
- Use the left sidebar to select Employee Kiosk or Manager View.
Click Manage instead when you need to maintain the employee's personnel record. Employee profile details, employment data, lifecycle history, and statutory information belong in Documentation:Employee Management.
Employee Kiosk
Use Employee Kiosk to record the start and end of a working period and to check the attendance result for today.
Read the current status
The kiosk shows a live clock and whether the employee is currently Clocked In or Clocked Out. It also shows My Assigned Shift for the day, such as 08:00:00 - 16:00:00.
The shift indicators explain the rules used for the day:
| Indicator | What it shows | Example |
|---|---|---|
| Grace Period | The permitted late-arrival margin and the latest arrival time that avoids a lateness penalty. | A 15-minute grace period for an 08:00 shift means the employee must arrive by the displayed grace limit. |
| Overtime | The point after which overtime is counted. | After 1h 0m. |
| Today's Attendance | Today's calculated summary: first clock-in, total worked time, lateness, and overtime. | After a first punch at 08:10, the summary records that time as First In. |
Clock in and clock out
- Open the employee's attendance workspace and select Employee Kiosk.
- Review My Assigned Shift and the displayed grace-period and overtime rules.
- When the employee starts work, click the blue Clock In Now button.
- Check that the status changes to Clocked In. The button changes to the red clock-out action.
- When the employee finishes work, click the red clock-out button.
- Review Today's Attendance to check the first-in time, total worked time, lateness, and overtime.
For example, an employee assigned to 08:00:00 - 16:00:00 can clock in at the start of the shift and clock out at the end. The kiosk retains the recorded punch times and shows the resulting daily totals.
Manager View
Use Manager View to audit attendance for a date or date range. The attendance grid provides one daily summary per employee; the raw punch log provides the individual IN and OUT events behind that summary.
Review the attendance grid
Set the date filters at the top of the view before reviewing results. For a single-day audit, use the same date as both the start and end date, for example 07/08/2026 to 07/08/2026.
The grid includes:
- Employee attendance date
- First Clock In
- Last Clockout
- Attendance Status, such as Present or Absent
- Lateness in minutes
- Overtime
- Total Minutes worked
Use these columns to identify exceptions. For example, an employee with a first clock-in after the expected start may show lateness in minutes even when the employee is marked present.
Audit the raw punch log
- Open the relevant employee attendance workspace and select Manager View.
- Set the required date range.
- Locate the employee in the attendance grid and review the daily totals.
- Select the checkbox at the far left of that employee's row.
- Scroll to the raw punch log below the grid.
- Review the chronological IN and OUT timestamps for the selected day or range.
Use the raw log when the daily total needs investigation. For example, if the grid shows an unexpected total number of worked minutes, compare the exact IN and OUT timestamps in the log with the employee's expected shift.
Configure shifts
A shift definition is a reusable set of expected working hours and attendance-rule values. Shift Management lists the active shift patterns in the organisation, such as Paradox Prevention Shift (Day).
Each definition includes:
- Shift name
- Expected start time
- Expected end time
- Grace Period Minutes
- Overtime Threshold Minutes
Create or edit a shift definition
- Open Attendance and select Shifts from the navigation drop-down.
- Click Create Shift to add a definition, or click Edit on an existing row to change it.
- Enter the shift name, expected start time, expected end time, grace-period minutes, and overtime-threshold minutes.
- Save the shift.
For example, create a day-shift definition with an expected 08:00:00 start and 16:00:00 end, then enter a 15-minute grace period and the required overtime threshold.
Record absence requests
Use Attendance > Absence Requests to keep absence records in one place.
The absence list shows:
- Employee
- Reason for absence, for example Sick Mother
- Start Date
- End Date
- Is Paid indicator
The Is Paid checkbox identifies whether the absence record is marked as paid.
Create or edit an absence record
- Open Attendance and select Absence Requests.
- Click Create to add an absence record, or click Edit to change an existing record.
- Select the affected employee.
- Enter the reason, start date, and end date.
- Select Is Paid when the absence should be identified as paid.
- Save the record.
For example, record an absence for one employee from 07/08/2026 through 08/08/2026, enter the stated reason, and select Is Paid when applicable.
Attendance and employee lifecycle status
Attendance records and lifecycle status are related operational information, but they are maintained in different workspaces. Use this attendance workspace for punches, shift definitions, attendance audits, and absences. Use Lifecycle History when you need to record an employee status change such as On Leave, including future-dated and historical status records.
